Most missionary fares grant you two checked bags (up to 23 kg / 50 lbs each). On certain routes or airlines, you will benefit from a Weight Concept allowing a generous total of 35 to 40 kg instead of a fixed piece limit.
Airlines with Great Allowances:
Leading carriers like KLM (NGO fares), Qatar Airways (QR), Qantas (QF), and Emirates (EK) are famous for their humanitarian programs. In fact, on some routes, QF and EK will even allow up to 3 checked pieces!
Star Alliance:
If you fly with Star Alliance partners (such as Lufthansa, Austrian, United, Brussels Airlines, or Air Canada), you standardly receive 2 pieces of checked baggage on key routes, such as transatlantic flights to the USA.

Who qualifies for missionary and humanitarian extra baggage fares?
These special fares and baggage allowances are reserved for individuals traveling on behalf of registered non-profit organizations (NGOs), churches, missionary societies, aid agencies, and humanitarian groups. It also applies to Individual Missionaries and to family members visiting them in the field.
What proof or documentation do I need to provide?
Airlines require official documentation to verify your eligibility. Upon check-in at the airport, you will need to nbe able to present:

An official assignment/support letter on the sending organization’s letterhead, stating the purpose and dates of your trip.

Or, a valid volunteer/missionary ID card or NGO credential.

How much weight and how many bags am I allowed?
While standard rules allow no or 1 bag, a humanitarian ticket usually grants you:

Checked Baggage: 2 pieces of checked luggage, up to 23 kg (50 lbs) per bag, or 35/40 kilos.

Cabin Baggage: 1 standard carry-on bag plus 1 personal item (like a laptop bag or small backpack), subject to standard airline size and weight limits.

Is the extra baggage allowance valid for connecting flights?
Yes, as long as your entire journey is booked on a single ticket/itinerary. If you have a connection operated by a partner airline, the missionary baggage allowance typically carries over.
However, if you book a separate domestic flight on a local budget carrier to reach your final remote destination, that local airline’s standard (and often much stricter) baggage rules will apply.
What is a codeshare flight, and why does my missionary baggage allowance sometimes fail on them?
One of the most common and painful frustrations for travelers is booking a “codeshare” flight (a flight where you buy the ticket from one airline, but the actual plane is operated by a partner airline).

The Issue: If you book a KLM missionary ticket, but the first leg of your flight is operated by a regional partner under a codeshare agreement, the operating airline’s local baggage system might not recognize your special NGO allowance.

As long as your equipment, tools, or supplies fit within your standard suitcase dimensions (typically up to 23 kg / 50 lbs and a maximum total size of 158 cm / 62 inches) and do not violate standard airline security or safety rules, you can pack them as part of your regular checked baggage allowance.
However, if your baggage is bigger, heavier, or if you are transporting specialized, highly unusual cargo, different rules, rates, and registration processes apply.

⚠️ CRITICAL SAFETY WARNING: Lithium-ion Batteries & Power Banks
Due to strict international aviation safety regulations (IATA), loose lithium-ion batteries, power banks, and portable power stations are strictly prohibited in checked luggage.

Where to pack: They must always be carried in your hand luggage (cabin baggage).

Capacity limits: Power banks under 100 Wh are generally allowed. For batteries between 100 Wh and 160 Wh (like large drone or camera batteries), you need prior airline approval. Batteries over 160 Wh (such as solar generators or heavy power stations) cannot travel on passenger flights at all and must be shipped as cargo.

Prevention: Make sure battery terminals are taped or packed in individual bags to prevent short-circuiting. If security finds lithium batteries in your checked suitcase, your bag will be opened, the batteries will be confiscated, and your flight may be delayed.
